How We Protect Family Information

This policy explains how Little Playroom Cafe collects, uses, shares, and retains information for tickets, waivers, memberships, gift cards, parties, payments, and check-in.

Effective date: June 25, 2026

This Privacy Policy applies to Little Playroom Cafe LLC and the website at littleplayroommadison.com. It is written for parents and legal guardians who use our website and services.

Information We Collect

We collect information needed to operate Little Playroom Cafe, including parent or guardian name, email address, phone number, visit date, ticket details, membership details, party details, gift card details, and checkout information.

For waivers, safety, check-in, and visit records, we may collect participant names, age labels, emergency contact information, digital signatures, waiver dates, photo and video permission choices, and related consent records.

For payments, we use payment providers such as Square to process card payments. We do not intentionally store full card numbers on our website.

Children's Privacy

Little Playroom Cafe is designed for parents and legal guardians to make purchases, complete waivers, and manage visits for children. Children under 13 may not submit information directly through this website.

When we collect information about a child, we do so because a parent or legal guardian provides it for a limited business purpose such as a waiver, ticket, membership, party booking, check-in, safety record, or customer support.

We do not sell children's personal information. We do not use children's personal information for targeted advertising. Photo and video permission is optional and is collected separately from the required waiver acknowledgments.

If we learn that a child under 13 submitted personal information directly through the website without a parent or legal guardian, we will delete that information or obtain appropriate parent or guardian consent when required.

A parent or legal guardian may contact us to request access to, correction of, or deletion of a child's personal information. Some records may need to be kept when required for legal, safety, payment, accounting, dispute, or waiver purposes.

How We Use Information

We use information to reserve play sessions, process payments, issue confirmations, manage memberships, issue and redeem gift cards, collect and verify waivers, support check-in, respond to customer requests, maintain safety records, and operate the cafe.

We may use contact information to send transactional messages related to purchases, waivers, reservations, memberships, gift cards, policy updates, or customer support.

Sharing Information

We share information only as needed to operate the business, including with service providers that help with hosting, database storage, payment processing, email, analytics, customer support, fraud prevention, accounting, legal compliance, or business operations.

We may disclose information if required by law, to protect safety, to respond to legal process, to enforce our policies, or to protect the rights, property, and security of Little Playroom Cafe, guests, staff, and service providers.

Payments, Memberships, and Auto-Renewals

Payment details are handled by our payment processor. We may keep order summaries, payment status, transaction identifiers, purchase history, and related records for accounting, support, fraud prevention, and legal compliance.

Before a customer purchases any auto-renewing membership, we disclose the renewal terms, price, billing frequency, and cancellation method before checkout. Membership billing, cancellation, refunds, and related terms may also be covered in separate Terms of Service.

Cookies, Analytics, and Tracking

Our website may use cookies or similar technologies that are necessary to run the website, remember preferences, protect security, improve performance, or understand website traffic.

At this time, we do not intentionally configure advertising pixels to use children's personal information for targeted advertising. If we add tools such as Google Analytics, Meta Pixel, or similar advertising or analytics services, we will update this policy to identify those tools and explain how they are used.

Our website does not currently respond differently to browser Do Not Track signals. Some service providers may collect technical information necessary to provide hosting, security, analytics, payment processing, or website functionality.

Data Retention

We keep personal information only for as long as reasonably needed for the purpose it was collected, unless a longer period is required for legal, safety, accounting, dispute, payment, tax, or business record purposes.

Waivers are currently designed to remain valid for 180 days from submission. Some waiver and transaction records may be retained longer when needed for legal, insurance, safety, accounting, or dispute purposes.

Payment and order records may be retained as needed for accounting, taxes, fraud prevention, chargebacks, customer support, legal compliance, and business records.

Security

We use reasonable administrative, technical, and organizational safeguards intended to protect personal information. No website, database, or payment system can be guaranteed to be completely secure.

We limit access to family, child, waiver, membership, gift card, check-in, and payment records to authorized staff and service providers who need the information to perform their work.

Your Choices

You may contact us to request access to, correction of, or deletion of personal information associated with your family, subject to records we need to keep for legal, safety, accounting, payment, dispute, or waiver purposes.

You may decline optional photo and video permission. Declining optional photo and video permission does not prevent a child from participating in play activities.

California Privacy Notice

California residents may have additional privacy rights under applicable California privacy laws. You may contact us to ask what personal information we maintain about you or your family, request correction or deletion, or ask how we share information, subject to legal, safety, payment, accounting, dispute, waiver, and business record limits.

We do not sell personal information or children's personal information. We do not use children's personal information for targeted advertising.

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date on this page and may provide additional notice through the website, checkout flow, email, or another reasonable method.

Your continued use of the website or services after an updated Privacy Policy is posted means you accept the updated policy, to the extent permitted by law.
